Overview

We are currently seeking an innovative, detail-oriented, and highly organized Sales Support Associate to oversee our print and digital galley programs, providing support across the Sales and Publishing teams for HarperCollins US Adult Trade and Children’s books. This position will work closely with the Associate Director & Assistant Manager of Sales Operations to brainstorm and implement solutions and process improvements to these programs, as well as on meeting logistics and support for key Sales meetings.

Responsibilities

  • Oversee the print galley program, including: identifying the seasonal title lists with Publishing and Managing Editorial, updating the galley system, soliciting all departments (Marketing, Publicity, Editorial, Publishing Ops, and Sales) for quantities, tracking due dates and received inventory, handling mailings for the Sales department, troubleshooting galley issues and answering questions from the Sales and Publishing teams (working with the Publishing, Warehouse and IT teams), confirming discards of excess inventory, and generating regular reporting on the program.
  • Administer the day-to-day operations of the digital eGalley and Advanced Listening Copies (early audiobooks) programs, including seasonal title planning, asset management, platform distribution, and stakeholder coordination. Partner cross-functionally with Publishing, Production, Sales, and external platform providers (Edelweiss and NetGalley) to drive timely title launches, optimize workflow efficiency, manage access and distribution protocols, and resolve operational issues to support pre-publication marketing and sales initiatives.
  • Curate and oversee the distribution of key reading materials and strategic sell-in assets to Sales teams, including manuscripts, launch sampler packets, and finished book samples, ensuring timely delivery and alignment with pre-publication sales initiatives.
  • Analyze reporting across the above programs to identify gaps, issues, and trends for the Associate Director of Sales Operations. Partner with them on planning and executing process and system upgrades and enhancements.
  • Oversee the planning of the seasonal Launch and Positioning meetings and weekly Title Focus meetings for Sales in partnership with the Assistant Manager of Sales Operations, including coordinating meeting logistics, distributing materials, managing Outlook invitations, facilitating presentations in Microsoft Teams, providing technical support, and recording sessions to ensure seamless cross-functional communication.
  • Support Sales Operations initiatives through the maintenance and enhancement of key Sales and Publishing platforms, optimization of process tools, and development of best practice documentation to improve team workflows and operational efficiency.
  • Coordinate ad/promo requests for Sales as needed.

Qualifications

  • Minimum of 2 years of relevant professional experience required
  • Excellent organizational skills with a high level of accuracy and attention to detail
  • Proven ability to effectively prioritize and manage multiple responsibilities in a deadline-driven environment.
  • Working knowledge of virtual meeting platforms and basic technical troubleshooting.
  • Demonstrated ability to work independently and adapt in a fast-paced environment
  • Extensive experience with Microsoft Excel
  • Proficiency with Adobe Acrobat and Microsoft Teams, Word, Outlook, and PowerPoint
  • Familiarity with Edelweiss and NetGalley preferred, but not required
  • Excellent written and verbal communication skills, with the ability to collaborate effectively across diverse teams and departments

The salary for this position is $60,000. We recognize that attracting the best talent is key to our strategy and success as a company.
