Overview

We are seeking a highly organized and proactive Sales Support Assistant to support the Director of Retail Marketing and Adult Field Sales. This role is pivotal in ensuring seamless day-to-day operations within both departments under the Director's leadership. The role will also provide support to Associate Direct of Retail Marketing and the Independent Channel Sales Manager, support listed in Key Responsibilities.  

The ideal candidate will be detail-oriented, possess excellent communication skills, and thrive in a fast-paced, collaborative environment. 

Responsibilities

Administrative Support 

  • Provide comprehensive administrative support to the Director of Retail Marketing and Adult Field Sales. 
  • Manage key departmental tasks, schedules, and priorities to ensure workflows run smoothly. 
  • Attend Sales and Retail Marketing department meetings, taking detailed, organized notes and track action items, ensuring follow-ups are completed efficiently. 

Sales Support 

  • Pull, organize, and analyze key data for weekly departmental meetings. 
  • Prepare sales projections and goaling materials in a timely and accurate manner. 
  • Create reports and presentation decks for quarterly business reviews. 
  • Assist the Sales Manager, including but not limited to : 
    • Gathering and preparing seasonal selling materials. 
    • Reviewing and verifying seasonal catalogs for accuracy and completeness. 
    • Creating and managing Edelweiss markups. 
    • Provide administration support for the new account setup process and generate key weekly sales and HOT title reports, along with monthly promotional reports. 

Marketing Support 

  • Support the Associate Director with logistics and planning for seasonal independent bookseller conferences, B2B events, and independent bookstore regional shows  
  • Assist the Events Manager in managing the event request process during seasonal campaigns and missing order communications.  
  • Coordinate all aspects of seasonal Indie Next and ad hoc galley mailings, including: 
    • Drafting compelling B2B letters. 
    • Collaborating with external teams to ensure high-quality mailing components. 
    • Maintaining an up-to-date bookseller and Indie Next database. 
    • Coordinate and support account and author dinners, working with internal stakeholders and directly with restaurants around the country.  

Additional Responsibilities 

  • Serve as a go-to resource for departmental needs and contribute to team initiatives as required. 
  • Handle ad hoc tasks to support the Director, Sales Manager, and Associate Director, ensuring all deadlines and deliverables are met effectively. 

Qualifications

  • Exceptional organizational and time management skills with a strong attention to detail. 
  • Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint. 
  • Ability to analyze data and present findings in a clear and visually engaging manner. 
  • Excellent written and verbal communication skills. 
  • Ability to multitask and manage competing priorities in a dynamic environment. 
  • Proactive mindset with problem-solving skills and a team-player attitude. 
  • Familiarity with Edelweiss or similar systems (preferred but not required).

The minimum salary for this position is $50,000. We recognize that attracting the best talent is key to our strategy and success as a company. As a result, we aim for flexibility in structuring competitive compensation offers to ensure we are able to attract the best candidates. The quoted salary range represents our good faith estimate as to what our ideal candidates are likely to expect, and we tailor our offers within the range based on the selected candidate's experience, industry knowledge, technical and communication skills, and other factors that may prove relevant during the interview process.
