Administrative Assistant

HarperCollins Children’s Books is seeking an Administrative Assistant to the Director of Publishing to provide departmental support at Clarion Books, an imprint in the Children’s division. This role works with all members of the team on the day-to-day functions that make the department run smoothly.


This role will assist the Director of Publishing with day-to-day administrative needs including but not limited to:

  • Schedules all departmental meetings, secures conference rooms, and serves as communication contact between departments.
  • Attends meetings with and acts as liaison to other internal departments (i.e. Publicity, Marketing, Managing Editorial, Production, etc.).
  • Makes travel arrangements, coordinating flights, accommodations, and other itinerary specifics.
  • Processes invoices, rectifies all purchases on departmental purchase card, and processes expense reports for entire team.
  • Maintains internal processes and systems and coordinates department workflow.
  • Assists Director of Publishing with the creation of various PowerPoint presentations and Excel spreadsheets, as assigned.
  • Maintains and updates author files and records and assists with contractual payments. 
  • Assists with miscellaneous publishing responsibilities.
  • Handles other tasks and assignments as assigned by manager.


  • 4 year college degree or equivalent work experience
  • Proven ability to set priorities under pressure and multi-task; must be highly organized and detail-oriented
  • Must be highly creative; writing experience preferred
  • Must communicate ideas and opinions clearly and effectively, both in person and in writing
  • Must be efficient, self-motivated, and have excellent communication skills
  • Proficient in Microsoft Office Suite, Excel, and PowerPoint

This role is currently based out of Boston, MA. You will need to commute to the office when it reopens.
