Administrative Assistant to the Department Head (Corporate Communications)

HarperCollins Publishers seeks a dynamic and detail-oriented individual to support the Senior Vice President of Corporate Communications and broader communications team. This role manages the day-to-day administration of the Corporate Communications Department and Information/Archives Center, which are responsible for the company’s internal and external communications. You’ll join a close-knit team in supporting the messaging, branding and philanthropic efforts for a growing global business with more than 200 years of history.


Corporate Communications Responsibilities:

  • Provides administrative support to the SVP including scheduling meetings, booking travel, mailings, etc.
  • Assists with department tasks such as submitting check requests, processing invoices, maintaining accurate records, filing expense reports, and other admin duties as necessary.
  • Updates the Intranet portal and assists with other internal communications as necessary.
  • Assists with presentations including formatting and sourcing content.
  • Helps schedule and coordinate company-wide events.
  • Assists with company donations/CSR efforts.
  • Maintains and updates reports and results on projects.
  • Conducts media monitoring.
  • Takes on special projects as needed.

Information Center/Archives responsibilities:

  • Orders materials from off-site storage, prepares new boxes for storage, and processes incoming and outgoing files/books/boxes.
  • Assists in several retrospective cataloging projects, which will include books, contracts and other historical materials. Takes on special projects as needed.
  • Assists in archiving New York Times Bestsellers into digital catalog.
  • Creates biographical author profiles for Digital Archive.
  • Administrative tasks such as bestseller list distribution, and coverage as needed when manager is out.


  • College degree or equivalent work experience
  • Prior internship or work experience preferred
  • Possess a keen attention to detail
  • Is self-reliant and efficient, and must have the ability to work independently
  • Must be self-confident and poised, comfortable working with the company’s senior management
  • Must exhibit creative and critical thinking
  • Excellent writing, proof reading, and copyediting skills
  • Excellent project management, communication, and organizational skills
  • Advanced proficiency with Microsoft Word, Excel, and PowerPoint; Photoshop and SharePoint preferred

This role is currently based out of New York, New York. You will need to commute to the office when it reopens.
