The Editorial Coordinator assists the Senior Managing Editor (ME) in overseeing and managing new titles from Pub Board acceptance/financial project APL approval through editorial process management to printer ready files.  Interfaces with the Bible Group's editorial, marketing, and creative team members as well as shared service areas of the company to support best tools, processes, and practices. Oversees the cover routing process and manages final stages of manuscript approval, ensuring editorial excellence by proofreading product packaging, front and back matter, and routings. 

Responsibilities

  • Provide backup to and assist the Managing Editor (ME) in managing resources and providing accountability.
  • Title set ups – Set up project records/ISBNs in MDM, ensuring all fields are entered fully and accurately with publication dates scheduled by the Managing Editor. Set up Marketing ISBNs at the request of Bibles Marketing staff to ensure alignment with corresponding product releases.
  • Title Plan – Refresh and review HCCP Bibles Title Plan for accuracy on a weekly basis, ensuring title setups are visible and categorized in the correct sales cycle.
  • Pub Cycle Forums – Responsible for pulling PCF query for Bibles Team and ensuring all missing fields are handled by the deadlines. Ensure files are posted to the Sales folders by the deadlines. Assist Managing Editor, Publishing, and Marketing Team members with reviewing PCF slides to ensure accuracy of all data and images and make updates to MDM records as needed.
  • Comprehensive Data Checks – In conjunction with the Sales Conference Cycle, which occurs three times annually, partner with the managing editor to ensure all data is thoroughly reviewed and updates are made in a timely, consistent, and comprehensive manner
  • Reprint Corrections – Manage the Zondervan Bibles, ZonderKidz Bibles, Global Language Bibles, and low cost Biblica Bibles reprint correction process. Meeting strict deadlines and managing multiple reprints at one time, this includes logging alerts in MDM, filing marked up files from editorial and marketing, completing work requests for Pre-Press and Composition upon the request of Production, reviewing and routing to the appropriate marketers and editors, and ensuring all updates are made accordingly.
  • Freelancer Process – Along with editors and publishers initiate/complete process for enlisting and hiring freelancers and setting them up as Independent Contractors. Maintain communication with both the assigned proofreader, Bibles’ editorial, and the company responsible for payment to ensure clear directions and timelines are met. Manage assignment deadlines, flow, evaluation, approvals of estimates, statements of work, and payment of invoices for editorial work assigned to ICs (macro editors, content editors, copy editors, proofreaders, indexers, theological reviewers).
  • Cover Routings – Oversee the cover routing process, ensuring editorial excellence by proofreading product packaging, front and back matter, stamping files, endsheets, and cover routings.
  • APL processing – Assist with managing APL development and processing as requested by the ME.
  • Editorial Support – Perform editorial operations support tasks (format proofreading, blues checks/CTP proofs, prepress checks, small proofreading jobs), assist Bible Development Editors with editorial tasks as requested (Copyright pages including updated templates and updates for all information on the copyright page, pagination guides, UPS mailing slips, printing manuscripts).
  • Copyright Registrations – Coordinate with Legal to ensure copyrights are obtained for assigned projects and serve as the primary contact on all library of congress questions from Editorial.
  • LOCs – Assemble the Library of Congress CIP data and manage the entire CIP application/correction and implementation process.
  • Coding – Assist Development Editors with coding of manuscripts
  • Customer Service Inquiries – At the direction of the ME, field, research, and forward as necessary queries received from Customer Service regarding Trade Books products.
  • Manage fulfillment of miscellaneous Bibles projects and initiatives/programs as requested by the Managing Editor (i.e.: updating Bible templates and forms in Excel or Word)
  • Facilitate and/or prepare meeting materials for recurring Bible Group meetings as part of the Managing Editorial team under the direction of the Managing Editor; manage follow-up on meeting action items.
  • Assist with taking notes during Bible Group meetings, including but not limited to: Pub Boards, Pub Cycle Forum, Pre-Production Planning Meetings, Production Rounds, and Creative Review and Alignment Meetings.
  • Prioritize and manage miscellaneous editorial project communication as assigned by the Managing Editor.
  • At the direction of the ME or Sr. Director of Data Integrity, support and manage projects as appropriate to meet changing needs and requirements (i.e.: data cleanup projects assigned)

Qualifications

Knowledge/Work Experience: Experience in publishing/editorial work preferred

 

Education: B.A. in English, Communications, Business, or a related area

 

Industry Knowledge:  General understanding of the Christian publishing industry preferred
