  • Overview



    Harlequin is currently seeking a Publishing Assistant provide confidential administrative support to the Vice President, Associate Publisher and assist on project work in varying capacities.


    • Manage the day-to-day administrative duties and initiatives
    • Manage the AP’s calendar in Outlook, book and move meetings to eliminate calendar conflicts
    • Arrange all travel for the AP, including purchasing of airline tickets and making hotel reservations
    • Process expense reports for the AP
    • Prints and collates weekly meeting notes and reading packets for the AP
    • Coordinate multi-departmental meetings and conferences and distributes agendas for meetings
    • Scheduling group meetings, ordering lunch/refreshments for meetings as needed
    • Managing supplies procurement
    • Coordinate transfer of materials to other company departments as requested
    • Work with IT to manage video and audio deficiencies, assist other admins/staff with tech set up as requested
    • Welcomes guests by greeting them, in person or on the phone; answers or directs inquiries
    • Handle sensitive and urgent departmental issues and requests in a confidential, organized, and timely manner
    • Special projects as assigned


    Specific training or job experience required before appointment includes:

    • Post-secondary program
    • 2 years work experience assisting someone in a management position
    • Exceptional written and verbal communication skills
    • Strong computer skills: PC familiarity is essential, knowledge of Excel, Word, PowerPoint, and Outlook


    Competencies and skills required to perform this job include the ability to plan, organize and prioritize and the ability to handle multiple tasks simultaneously, strong interpersonal and communication skills and discretion in a highly professional manner.  In addition, the ability to be adaptable/flexible, decisive, strong problem-solving skills, the ability to pay close attention to detail, and a drive for results.  Additional competencies that this position requires include functional/technical knowledge, computer knowledge, customer orientation, a high degree of initiative and independence, and the ability to anticipate needs.
