    Job Summary:
    The Editorial Coordinator is responsible for providing support to the Senior and Associate Editors, Carina Press. The role serves as the frontline administrative contact for the imprint.

     

     

    Responsibilities

    • Manages all general queries received via email using ZohoDesk.
    • Logs and routes submissions, updates submission response templates, assigns slush and processes reader reports.
    • Creates acquisition agendas, schedules acquisition meetings and circulates material to be discussed for acquisition. 
    • Assists with scheduling; creating and sending ISBN request forms. 
    • Tracks, provides material for, and generates preliminary materials for titles picked up by Direct to Consumer programs.
    • Provides general support for the editorial team, including such tasks as: sending monthly Art Fact Sheet alerts for authors, managing retitle process workflow, drafting Title Information sheets, compiling editorial assets as needed, maintaining Editorial Review spreadsheets.
    • Communicates with in-house teams about metadata; keywords input and management.
    • Creates/maintains/updates process documents and templates and communicates changes to remote editors as needed.
    • Assists with conference planning: coordinates printing and shipments, organizes events, books meetings.
    • Author management: Updates, maintains and circulates Author Kit and Who to Contact lists, communicates price promotion schedule and details, performs spot-checks on online title listings, mails foreign/audio editions, orders author copies, serves as frontline administrative contact for author base.
    • Social Media responsibilities: coordinates and schedules blog posts in WordPress, posts weekly release announcements in private FB group, updates submission guidelines and special submission call postings on blog and social properties, monitors and responds to comments, and reviews marketing-generated social media posts in Basecamp.
    • Internal systems knowledge: HERS, SMART, Concur, Content Station, Ultipro, Sharepoint, shared drives, etc. 
    • Special projects as assigned.

     

     

    Qualifications

    • Undergraduate degree.
    • 1-3 years administrative experience, or equivalent knowledge gained from prior experience.
    • Strong communication, writing, planning and organizational skills as well as attention to detail.
    • Previous book publishing experience an asset.
    • Problem-solving, decision-making and prioritization skills.
    • Proficiency with Outlook and Microsoft Office as well as database applications.
    • Strong interest in reading
    • A proven ability to demonstrate a high degree of initiative, independence, flexibility, discretion and the ability to anticipate needs
