    Greenwillow Books, one of the leading publishers of children’s and teen books, is currently seeking an Editorial Assistant to provide support to the Publisher and Executive Editor working on picture books, middle-grade and young adult fiction, and select nonfiction and graphic novels. This position also provides assistance to the Greenwillow managing editors and art directors. The ideal candidate thrives in a fast-paced environment, is excited about children’s books, and is creative, conscientious, extremely organized, and reliable.

    Responsibilities

    Departmental

    • Handles departmental queries and requests via email, mail, phone.
    • General office support (filing, ordering supplies, copying, scanning, paying of invoices, arranging meetings, booking travel, expense reports).
    • Communicates with and traffics material to other departments (rights, sales, finance, marketing, publicity, etc.) as needed.
    • Schedules, maintains, creates, posts content for imprint social media accounts (Instagram, Facebook, Twitter, website).
    • Provides general daily support of editorial, design, and managing editorial staff in bookmaking process and in communicating with authors, artists, agents.
    • Handles book orders for authors and artists.
    • Handles select fan mail for authors.
    • Maintains review files, book files, contract logs, and mailing lists.
    • Solicits, organizes, and handles author bios and photos.
    • Attends imprint meetings.

    Editorial

    • Supports the Publisher and Executive Editor.
    • Drafts copy, including title sheets, catalog copy, flap copy, cover copy, selling copy.
    • Conducts sales research, creates P&Ls, drafts contract requests and check requests.
    • Maintains submission log.
    • Reads and evaluates submissions and drafts rejection letters.
    • Reads and provides detailed feedback as requested.

    Design

    • Assists Art Director and Associate Art Director in searching for artists, images, portfolio reviews, and other projects as needed.
    • Scans artwork.
    • Logs, checks, traffics, and returns artwork.
    • Assists in maintenance of imprint materials in DAM.
    • Makes dummy books for sales and handles requests for material from sales and publicity as needed.

     

    Managing Editorial

    • Assists in maintaining imprint information in company database.
    • Assists in fact-checking and permissions clearing as needed.
    • Starts circulating materials and participates in checking of all titles.
    • Keyboards text changes in Word and InDesign as needed.

    Qualifications

    • College-level degree or equivalent work experience
    • Proven ability to set priorities under pressure and multi-task
    • Proficient in both PC and Apple programs, especially Microsoft Office Suite, InDesign, and Photoshop
    • Exemplary writing skills
    • Understanding of and curiosity about children’s book marketplace
    • Passion for children’s books for all ages, especially picture books
