Admin Assist to the Dept Head

HarperCollins Publishers, children's book industry leader, seeks a talented, experienced and dynamic individual to support the Senior VP/Associate Publisher/Editor-in-Chief of the Editorial department of our Children’s Division. This is a perfect opportunity for someone who is interested in a long-term position providing high-level administrative support in the children’s book industry.


  • Maintains a very busy schedule via MS Outlook Calendar.
  • Provides phone support to internal and external individuals.
  • Makes travel arrangements, prepares itineraries, and processes expense accounts for assigned staff. 
  • Assists in maintaining relationships with authors, agents, department staff and corporate management.
  • Schedules meetings, maintains files and calendars, and takes minutes at departmental meetings.
  • Prepares reports, meeting materials; drafts own correspondence.
  • Assists with special projects and meetings throughout the department.
  • Maintains logs for incoming projects.
  • Drafts and distributes confidential correspondence to department staff and authors, artists and agents regarding contracts and books in production.
  • Serves as an information resource for the editorial department, especially the assistant staff
  • Proactively evaluates and improves department procedures


  • 3+ years of prior relevant work experience
  • Enthusiasm about children’s books, reading and/or publishing preferred
  • Excellent, clear and confident communication skills, both verbal and written
  • Detail-oriented, well-organized, proactive and able to set priorities under pressure
  • Ability to work effectively with all levels of management
  • Strong PC, Mac, Word, Excel, PowerPoint and Internet skills are required
  • Applicants must possess college degree or equivalent work experience
