HarperCollins Publishers is seeking a Contracts Coordinator to work in the fast-paced Legal & Contracts department.  In this role, you will have the opportunity to work with many different departments and complete a variety of tasks independently.

Responsibilities

  • Performs routine and specialized administrative duties for Legal and Contract departments
  • Inputs data and maintains contract databases
  • Drafts, proofreads and edits correspondence and other documents
  • Maintains electronic and paper files
  • Tracks contracts through negotiation, approval, distribution and execution process
  • Prepares contract files for scanning
  • Responds to questions and directs inquiries regarding contracts and other matters
  • Screens phone calls and refers callers to appropriate staff members in a professional and courteous manner
  • Drafts termination and reversion letters
  • Drafts and negotiates amendments as assigned
  • Drafts publisher’s releases
  • Reviews and processes payments and payee changes (including estate paperwork)
  • Creates and maintains project charts and department reports
  • Additional responsibilities as assigned

Qualifications

  • 4-year college degree or equivalent work experience
  • At least 1 – 2 years administrative experience at a publisher
  • Excellent written and oral communication skills
  • Strong organizational skills and attention to detail 
  • Ability to exercise professionalism, poise and tact in all verbal and written correspondence 
  • Strong time management skills 
  • Ability to set priorities under pressure 
  • Excellent written and oral communication skills 
  • Willingness to take initiative and to complete projects independently 
  • Proficient knowledge of MS Office 
  • Good judgment and practicality
